Commercial Tenant Tracker

Commercial Tenant Tracker is an easy-to-use database that tracks all the information about your tenants that you will need.

Commercial Tenant Tracker includes the Tenant's Business Name (1), First and Last Name (2a & 2b), their Home Phone (3a), Work Phone (3b) and ell Phone (3c).

Click the Dates/Charges tab button (5) to access the following fields:

The date the tenant moved in (6), moved out (7), the lease expiration date (8), what day the rent is due (9) and when it is late (10), the amount of the deposit (11), the Deposit Details (12), the rent amount (13), the Yearly Lease (14), the Late Charge (15), any Balance Due (16) and .the Total of Rent Paid Last Month (17).

Other Recurring Charges (18) can be added to the tenant's record so each month these charges will be automatically added to their rent.

Click the Deposit Details (12) button to reveal additional fields including Dep. Paid date, Partial Payment date and amount, Dep. Returned date and amount, etc.

Tenant Tracker 2

In the Information (1) section Additional Lease Name(s) and a Home Address (2) can be added to Notices and Receipts by filling in this field. Click the Expand button to make the field larger.

Also in the the Information section you will find fields for Emergency Contact Name (3), Emergency Number (4), Email Address (5), SS# or Tax ID# (6), and Other Phones (10).

There are three Misc. fields (7, 8 & 9), whose names can be changed by clicking the Change (7a) buttons above them.

After importing the sample data, these fields may have different names, but they can be changed to suit your needs.


Tenant Tracker 3

In the Expenses (1) section are fields for determining what Expenses are to be paid or shared by this tenant (2) and what Expenses have been paid by this tenant (4).

Click Add Expense (3) to add Expense types from Rental Expense Tracker to the list.

If there is a number in the Amount Paid per Year field (in the Expenses section of Commercial Unit Tracker) then Property Taxes will appear in the list.

If there is a number in the Amount Paid field (in the Expenses section of Commercial Unit Tracker.) then Liability Insurance will appear in the list.

 


Tenant Tracker 4

Payments are automatically added to Commercial Tenant Tracker when the Create Receipt button is clicked in Rental Income Tracker.

You can view these payments by clicking the Payments (1) tab below the Work Phone field.

You can add payments to the Payments (2) field by clicking the Add Payment (3) button.

The Payment History Report (4) button creates a report of all rental charges and payments made by the tenant and includes a running balance due.

If the Automatically Create Payment (5) option is enabled, you can click the ACP button in Rental Income Tracker to automatically create income records for this tenant and add lines to the Payments field. You should only use this feature if you automatically deduct the tenant's rent from their checking account.

You can easily create a lease by clicking the Lease Generator (6) button. You will need to modify the Lease Template which you can Edit, Export, Import or Restore by clicking one of the buttons provided.


Tenant Tracker 5

Click the Notes tab (1) to enter notes of any length in the Notes field (2).

Be careful not to delete lines from this field pertaining to Metered Utilities. You will need to edit these lines with current meter readings.

You might use this field to record birth dates, family members, temporary guests or other information about your tenants.

You can add potential tenants and mark them Waiting (3) by clicking the option provided. Then you can generate a Waiting List Report (4).

There are three ways to locate other records in Commercial Tenant Tracker. You can use the Go To Tenant (5a) button, which produces a list of tenant names or one of the two Find buttons.

The Find button above the Unit field (5c) produces a list of Units to choose from. The Find button below the New button allows you to search for text on any other record.

You can use the View (5b) button to go directly to the Commercial Unit Tracker record.

Create Late Notices (6) and other Tenant Notices (7) by using these buttons. You can print out Notices for all your tenants with a button provided on the subsequent window. You can also modify the notice and import and export notices for future use.

Click the Rent Roll button (8) to have the program create a report that shows which tenants are late with their rent. Use the Post New Rent button (9) to easily create a Rental Income Tracker record for this tenant.

Clicking the Tenant Report button (10) takes you to the report screen, where there are several options for displaying and printing tenant information.
