Activity
& Expense Tracker for Workgroups comes in two versions, the User
version and the Administrator version.
There are only a few small differences between these versions.
In the User version, no projects, activities or expenses
can be added to Activity & Expense Tracker. This is so the Administrator
can maintain control of the names of the projects, activities and
expenses. This makes reporting much easier and more accurate. This
limitation can be removed with a special password.
The Administrator has full ability to add projects, activities
and expenses. After creating these lists, they can export a paetypes.txt
file (which contains all this information), send it to all the users,
who then import it into their User versions.
The Users then create records in Activity & Expense Tracker and periodically
export the data to a text file which is then sent to the Administrator.
The Administrator then imports all these files and generates invoices
and reports.
In the Administrator's version of the Workgroup edition, the End
Date field is replaced with a User field. The name entered
into the name field in the Register window is automatically entered
into this field when a new record is created. The User does not
see this field. No user names are entered in unregistered versions
of the software.
The Administrator can switch back to the End Date field
by clicking the End Date button (which then changes to a
Show User button).
Above the User field is an Add/Select User button
which, when clicked, presents a dialog where you can choose, add,
modify or delete users.
Administrators can sort records by user name,
and create reports on one or more users.
The Workgroup edition defaults to the Administrator version during
the trial period. After the trial period, or after registration,
it defaults to the User version. At this point Administrator access
requires a special password which is emailed to the administrator
upon registration.
